There is no substitute here. The clerk entering the payments into the
system must closely watch what they are doing. There are no easy
safeguards for carelessness in this area, other than thoroughness or having
a second person come behind the first and make comparisons.

We also offer discounts for quarterly, etc. payments. If someone pays
$19.95 on a discounted quarterly invoice, that 19.95 amount is NOT
deducted from the discounted amount. We adjust the invoice to reflect a
monthly invoice for 19.95 so that the customer does not get the benefit of
the discounted offer and then issue the discounted invoice the next billing
cycle. Customers who repeatedly fail to pay the full discounted amount are
politely told that their invoices reflect a discounted rate amd are
normally put back into a monthly billing cycle if they continue to ignore
their invoicing option.
The whole point of discounted quarterly invoices is that the customer saves
some money and you save the time and cost of issuing multiple invoices and
entering multiple payments. Your are doing yourself a disservice by
allowing the discount for customers who aren't following their part of the
offer.
