Automated billing (actually invoicing) is rather easy to setup. =20
You'll need to have a computer dedicated to running filemaker/optigold =
as a
user assigned to run as "automation". There are two areas so you can
actually have two different workstations running automation. This would =
be
good for a number of reasons, one for invoicing perhaps with the other =
doing
all the usage imports, credit card billing, etc.
Once you have a workstation ready, you need to create another user and
assign that user to perform one of the two automation tasks. You'll =
find
this under edit Maintenance>Edit Employees>login info. Set the =
employee's
automated mode to automation 1 or 2.
Once you're ready, you need to edit the automation tasks. This is under
maintenance, general preferences, automation tasks. You will be =
prompted
for automation 1 or 2. As far as I can tell, these are just two =
different
automation tasks you can run simultaneously on two different =
workstations.
Both automation tasks are capable of performing the same functions.
Select which automation tasks you want to be active and how often you =
want
to run them. There are options to not invoice during certain times of =
the
day, etc. As with any other area of Optigold, you need to read all of =
the
options to see what is available. There are a ton of modifiers =
throughout
the system.
Automation can bill credit card customers automatically if you are setup
with some kind of real-time credit card processing. If not, it can =
generate
the batch file for you to process later. It will print invoices
automatically and have them ready for your staff to send in the morning. =
It
can also import your usage files or query SQL servers for usage if =
that's
set up in the general preferences>usage section.
When you have everything setup, you just log into that workstation you =
set
up earlier and the automation user you created. You will see an =
automated
tasks screen instead of the main menu. It's all downhill from there.
Keep in mind that once you do this, there is something out there ready =
to
take whatever mistake you just made and invoice or bill it at the next
scheduled time. While we were figuring all this out, there were a =
couple of
times that I had to go into my credit card processor and undo charges =
that
got billed before I was ready. It makes you a little more aware of =
what's
going on. Example: My credit card billing is setup for every 60 =
minutes.
If I just set up an account 5 minutes ago, and messed up the line items,
it's going to get billed if it's a credit card account in 5 minutes. I =
may
notice the problem an hour later but it's already been billed, a receipt
emailed, etc, etc...
In other words, there's kryptonite out there, Superman.
On a side note. For those of you who have multiple machines out there
running the web server, two automation servers, etc, there is a way to =
do
this on one pc. We've started using VMware to fire up more than one =
virtual
machine on a physical pc. It's great stuff and we don't have the =
problem of
running the actual database server and web server on the same machine. =
It
does work. We have the database server running on the host machine with
three VMware workstations running both automations and the web server.
Works like a champ. If you want some details on this, let me know.

We have been using OG for a couple of months but we have to manually
create invoices..

Hey Shawn,
I just printed a quote and even though the pricing appears fine in
Optigold, when you print or preview (and I bet email) it shows 0.00 for
the cost of each item. The total is working fine and the taxes are too.
It's just the item pricing that is broken I think. Can we get a quick
fix
for this?
